Online engagement letters, signed on the phone
An engagement letter usually travels like this: you send a document, the client prints it, signs it, scans it and sends it back, sometimes weeks later. With a form, the client fills it in and signs it on their phone in two minutes, and you have it in the dashboard straight away.
What the template collects
- Who is engaging you: full name or company name, tax ID and, if they act for a company, their name and position.
- The service, as you agreed it.
- How the fees work: fixed price, hourly, monthly fee or as quoted.
- Acceptance of the terms of the engagement, with a required checkbox.
- A handwritten signature, with a finger on the phone or with the mouse.
- The basic data protection information, already written for a professional engagement.
How to use it
- Create the form from the template and write the terms of the engagement in the description, or link to the full document.
- Add your name or company name to the data protection information and publish it.
- Send the link to the client by email or WhatsApp. If you like, prepare one form per type of service.
- When they sign, you get a notification. Open the response and click “Print or save as PDF” to file it with the case.

Frequently asked questions
- How valid is a signature drawn on the screen?
- It is a simple electronic signature. The European eIDAS regulation prevents it from being denied legal effect just because it is electronic, and it records who accepts, when and with which details. It is not a qualified electronic signature: if a specific procedure requires one, a digital certificate is needed.
- Can I include my general terms?
- Yes. Write them in the form description or link to the document. The acceptance checkbox makes the client confirm them before signing.
- Does the client get a copy?
- On the Pro and Business plans, respondents can get a copy of their answers by email.
