Online photo and video consent
Before publishing photos or videos of students, members or attendees you need their permission, and for minors, their parents’ or guardians’. Collecting it on paper at the start of term is easy to lose; with a form, each consent is stored with its date and signature.
What the template collects
- The name of the person who appears in the images and whether they are a minor.
- For a minor, the name of their parent or legal guardian.
- Whether they allow their image to be used.
- For which uses: the website, social media, printed material or internal use. They can tick some and not others.
- The signature and the basic data protection information.
Why each use is ticked separately
A blanket consent for “any use” is easier to challenge than one that says exactly what it is given for. That is why the template separates the uses, and why it is worth asking again if you later want to use the images for something else.

Frequently asked questions
- How valid is a signature drawn on the screen?
- It is a simple electronic signature. The European eIDAS regulation prevents it from being denied legal effect just because it is electronic, and it records who accepts, when and with which details. It is not a qualified electronic signature: if a specific procedure requires one, a digital certificate is needed.
- Who signs for a minor?
- Their parent or legal guardian: the question appears when the person is marked as a minor. In Spain, minors aged 14 and over can consent to the processing of their data, but for the use of their image it is worth checking each case.
- What if someone withdraws their consent?
- They can do so at any time. Mark it with a tag on their response or ask them to fill in the form again, and stop using their images for those purposes.
